How to Configure Master Settings in CPQ Admin

This guide explains how to access and configure Master Settings in Good Sign CPQ, covering pricing, product, user permissions, and numbering settings, helping you define system-wide configurations for CPQ forms and products.

Master Settings

The Master Settings can be accessed by clicking the Master Settings icon () located at the top of the main view. These settings allow you to define configurations that apply across all forms and products within the CPQ system.

Note: Master Settings are only visible to users with access right 3275 (Menu - CPQ Admin settings).

Pricing Settings 

Pricing settings determine where the default prices for CPQ products are sourced from.

Organization:
  • Tooltip: “Default pricing organization for CPQ products by CPQ Forms.”
  • This setting allows you to choose the default pricing organization for the CPQ products.
Enable the option to set pricing organization by form (On/Off toggle):
  • This option allows you to override the default pricing organization for specific forms, giving you the flexibility to apply pricing rules to different forms.
  • When enabled, an additional pricing organization field appears in the Activate Form function, allowing a different pricing organization to be selected per form.

Product Settings

Product settings help you control which products can be added to quote forms and sections.

Product Category:
  • Tooltip: “If set, only products under the selected product category will be added to quote forms/sections.”
  • Currently, this setting supports only one product category, meaning all products visible in CPQ must belong to this category.

  • Future updates may allow multiple product categories to be selected.

Product Dimension:
  • Tooltip: “If set, only products with the selected dimension will be added to quote forms/sections. Also, the product name/description will correspond to the selected dimensions.”
  • A more flexible option than Product Category, this setting allows all products (regardless of category) to be available in CPQ if they have the defined product dimension.

  • Instead of using existing standard dimensions, it is recommended to create a dedicated CPQ dimension that is only assigned to products intended for CPQ.

  • Special Case: Normally, all defined dimensions in the system are assigned to new products. However, an exception has been added so that if a CPQ product dimension is defined here, it will not be automatically assigned to new products.

  • Using the Product Dimension setting alone is recommended, leaving Product Category empty unless both settings are needed to further filter the product selection.

Common Settings (Permissions)

These settings control access and permissions for CPQ forms, ensuring proper user management and security.

Enable option to set user permissions by form (On/Off toggle):
  • When enabled, a User Right selection appears in the Activate Form function.

  • This setting allows administrators to assign specific user permissions for each form, controlling who can access or modify certain forms based on user roles.

Note: Form Visibility Rules:

  • A form’s visibility is determined by both the selected organization and the assigned user right.

  • Sales representatives must have the defined user right for the selected organization (or a lower-level unit within it) to see the form and related quotes.

Numbering Settings

These settings define how form and quote numbers are generated, ensuring consistency and traceability.

ID Prefix (Text box):
  • Tooltip: “Prefix for auto-generated quote number. Example of a default quote number format: QU-0000001.”

  • You can define a prefix that will appear at the start of the auto-generated quote numbers.

ID Length (Text box):
  • Tooltip: “Length of auto-generated quote number. NOTE: Changing the numbering settings will not affect the numbering of current quotes, only the new ones.”

  • This option allows you to specify the length of the auto-generated quote numbers.

Enable option to set numbering formula by form (On/Off toggle):
  • When enabled, different forms can have their own unique numbering schemes.

  • The database already supports form-specific numbering, but this functionality is not yet implemented in the UI. It can be added if needed.

Note: Each quote has a unique internal key. This setting defines a customizable reference key visible to customers.
