What Are Prices and How To Use Them

This user guide is about the managing of prices in Good Sign. After reading this guide, you’ll be able to understand what is meant by prices and how to manipulate them. Before starting on prices, please refer to the Products User Guide.

Required User Rights

To be able to use these operations, you’ll need at least the following user rights: 3503 – Prices by Product, and 3504 – Manage Prices.

About Prices

In Good Sign, a price is a record that is connected to an organization and typically to a product. A price has a validity period, and several parameters that can be used to define how it behaves. A price determines how much will be charged from a customer when they consume a product at any given point in time.

Before getting started, it is also good to understand how prices work on an organizational level. A price is a hereditary property. The basic principle of pricing in Good Sign is that pricing is determined at the most accurate level. A price, that is defined for an organization, is by default inherited by the child organizations below it in the Organization Tree, regardless of how many branches there are. Thanks to this, if you have the same pricing principles for different organizations, they don’t need to be separately entered to the lower levels of hierarchy. Only exceptions are required to be entered and this makes pricing maintenance low and effective.

When adding prices, it is recommended to enter your list pricing to the highest level of the organization hierarchy where the specific prices are valid. Choosing the highest possible level ensures all organizations below have correct pricing. Additionally, the right organization level controls that prices don’t end up being used in another branch of the organization tree by accident.

Prices by Organization

In Prices by Organization, you can find all prices categorized by organization. Here you can add, delete, edit, and copy prices, as well as view price history. It is recommended that you create your prices in this dashboard, so that you can get the most out of the price’s inheritance in the Organization Tree.

Add New Price

  1. In Prices by Organization, choose Add New Price from the Management menu (see Figure 2)
  2. Fill in the parameters of the price (at least the ones that are marked with a red star. See Figure 3)
    • Make sure you have the right organization
    • Leave Object ID blank if you don’t wish to connect the price to ONLY one particular object
    • Description is the description of the pricing line, that defaults to the description of the selected product
    • Valid From/To time for this price should be long enough, so that the price doesn’t accidentally expire. Charges will be priced with the price that is valid at the time
    • Price is the unit price
    • In traditional B2B invoice situations, you don’t need to do anything to VAT, Pricing Unit, or Base VAT
    • Pricing Unit describes how Good Sign views the price in connection with the product. The default value, pcs, is suitable for most situations
    • If you have a price that has tax included, then you must give the unit price including tax and fill in the VAT field with the tax percent
    • Currency should be set to the currency that the price is in
  3. You can open the extra parameters by clicking on them. These are only needed by telecommunication customers and contract module users
  4. If you wish to start over, simply press Reset and all the fields will be emptied
  5. Once you’ve filled in all the required parameters, press Save and close the window

Copy Price

  1. In Prices by Organization, choose the price you wish to copy
  2. Choose Copy Price from the Management menu (see Figure 2)
  3. A copy of the Prices (see Figure 3) form will open of that price
  4. Change the Organization of the price to the one you want to copy it to
  5. You may wish to change the Description (also Price, Valid From, etc.)
  6. If you wish to reset all the information and start fresh, press Reset
  7. After all your changes to the copied price, press Save and close the window

Delete Price

  1. In Prices by Organization, choose the price you wish to delete
  2. Choose Delete Price from the Management menu (see Figure 2)
  3. If you wish to reset the values on the form, press Reset, and they will all be cleared
  4. Press Remove. The price has now been deleted from Good Sign

Note! If the price is active, it can only be expired by changing Valid To (see Figure 5). Once you’ve changed the Valid To, press Save and close the window

Tip! Even though the expired price will no longer be visible in Active Prices, it can still be viewed in Old Prices (from the dropdown menu under the Management menu)

Multi-Expire Prices

You can multi-expire prices by choosing several prices and clicking Expire Prices from the Management menu. To choose several prices at a time that are not consecutive, click on one price and then click on the other prices you want, while pressing Ctrl. To choose consecutive prices, choose the highest price in the row and then, while pressing Shift, press the lowest price in the row.

Multi-Delete Prices

You can multi-delete prices by choosing several prices and clicking Delete Prices from the Management menu. To choose several prices at a time that are not consecutive, click on one price and then click on the other prices you want, while pressing Ctrl. To choose consecutive prices, choose the highest price in the row and then, while pressing Shift, press the lowest price in the row.

Edit Price

  1. If you wish to edit a price, do the following steps: In Prices by Organization, choose the price you wish to edit
  2. Choose Edit Price from the Management menu (see Figure 2)
  3. Make sure to have a value in all the parameters that are marked with a red star (see Figure 3 for an example)
  4. If you wish to empty all the window’s information, press Reset
  5. Once you’ve done all your changes to the price, press Save and close the window

Note! If you change the Price and Valid From/To date, the old price will automatically end the day before the new price starts and both will have their own lines in the price list

Note! After you have saved your changes, automatic repricing will happen in the background. This means that any charges that haven’t been invoiced will be repriced to reflect the change - this ensures correct invoicing

Multi-Editing Prices

Multi-editing can be used, for example, for annual price increases. You can multi-edit prices by choosing several prices and clicking Edit Prices from the Management menu. To choose several prices at a time that are not consecutive, click on one price and then click on the other prices you want, while pressing Ctrl. To choose consecutive prices, choose the highest price in the row and then, while pressing Shift, press the lowest price in the row.

The options in mass editing are percentage and amount. Old pricing lines will be ended, and new ones created.

When multi-editing prices, automatic repricing will happen in the background. This means that any charges that haven’t been invoiced will be repriced to reflect the changes - this ensures correct invoicing.

View History

When pricing is edited, Good Sign stores the change history of the pricing record so that you can see when, what, and by whom was changed.

  1. In Prices by Organization, choose the price whose history you wish to view
  2. Choose View History from the Management menu (see Figure 2)
  3. Once you are done, press Close

In Prices by Product, all the organization’s prices are organized by product (see Figure 6). In the example, products are first divided into categories, so you can also view all prices of a particular product category, simply by choosing the category. The pricing information shown is filtered by your selection in the product tree. You can also look at an individual product’s pricing by choosing it from the product tree.

Prices by Product has the same functionalities as Prices by Organization. See Prices by Organization for more information.
