What is Work Invoicing and how to use it in Contracts

Work Invoicing

Work Invoicing is one of the charging models in the Good Sign Contract Model.

Work Invoicing is, basically, simple work hour billing, where time is the factor that is being invoiced. For example, a printer company sells separately ordered maintenance work that costs 120 € per hour.​

Work Invoicing can be billed in arrears. The working hours can be entered via the user interface or by importing data into Good Sign.

With Work Invoicing, individual work hours are formed into their own billable charges. The pricing model that is used with Work Invoicing is Unit.

Besides contract lines, Work invoicing requires an entry or interfaced timesheet object. These can be added via the user interface or interfaced via an API from your ticketing system. Specific fields are passed to invoicing from the time sheets.

To create a new Contract Line, select Management and then New Contract Line

After pressing New Contract Line, a pop-up window appears where, the suitable profile (Charging model) for the Contract Line, can be selected.

After selecting Work invoicing from the profile menu, a pop-up window appears:

There are no mandatory fields, but below is a table of the most used fields and their descriptions:

Field Description
Contract Line Valid From Start date of the Service
Contract Line Valid To End date of the Service
Product The product that is charged from this contract line
Mapping value Mapping value is an identifier target to match timesheet-based data to the contract line and correct pricing. The mapping value should be added to Contract line (Work invoicing) window, in the Usage data section.

After filling in the needed fields, press Save.

 

Note! If you want to add a new service, you need to add it to the product catalog and then to the contract lines

Note! After the required fields have been filled, an automatic charge will be made during the next charging cycle (assuming that the contract, contract line, and price are valid at the time and the matching timesheets are found)

Adding timesheets

Before taking timesheet-based invoicing into use, it is recommended to contact Good Sign to confirm that the standard functionality is in accorance with your processes. On many occasions, you can also use the usage profile to invoice time-based services, but it depends on your business model.

Timesheet-based billing is good if you need to have very detailed invoices to customers on provided services.
